Introduction

As insightsoftware continues to grow its portfolio of products, we want to make it easier to manage all ISW products in one portal called the Platform.

This document covers the configuration of Wands to use the Platform licensing model. Please note if you are using a Wands License Key this document is NOT applicable.

Prerequisites

Follow the instructions provided in Installation Guide - Oracle12.2.

Before “Logging on for the first time” (Install Guide Section 4.7) the required Wands users must first be created in the Platform Portal.

Set Licensing Model

Create Profile Option

Logon to Oracle e-Business Suite to create the licensing model profile option. A suitable responsibility, like Application Developer, will be required to do this.

Set Profile Option Value

Set the Wands: Licensing Model profile option value at site level. This will apply to the entire organization. Please set the profile option value to Platform

If no value is specified the legacy licensing system will be used. The Platform licensing model can be set at user level too. This should only be done for troubleshooting or platform licensing issues.

Valid Values for this profile option are:

Platform

Uses the platform licensing model

Legacy

Uses the legacy licensing model

Oracle User Record

Ensure that all Oracle users that will be assigned a Wands License have a valid email address captured in Oracle e-Business Suite. This email must match the value when capturing the licensed user in the Platform Portal.

Platform Portal

Before a user can access Wands the Account administrator must capture the users credentials and license assignments using the Platform portal.

Sign In

To log in to the Platform portal use your web browser navigate to https://app.insightsoftware.com/ and enter your user email address to continue.

If a third-party identity provider (for example Okta) is used enter the required user credentials and multifactor authentication codes.

After successful authentication, you will be directed to the Platform portal home page showing:

  • The products for which you currently have licenses.

  • If you are an account manager, you will see User Management options on the green sidebar on the left side of the screen.

  • Information about other insightSoftware products for which you currently do not have licenses.

Sign Out

To log out of the Platform portal, you can go to the bottom of the green sidebar on the left of the page and click on the circle showing your user account initials. Then, click Logout.

User Management

The user management icon in the sidebar is only available if you have been assigned Account Manager permissions. It enables you to:

  • View a list of users with Platform accounts and verify:

    • Account Manager permission.

    • Product assignments.

    • Account Status.

    • Last Login details.

Create Users

To create a new user select the User Management icon on the sidebar and click the Create User button. Alternatively, you can click on the + sign icon in the side bar.

Enters values for First Name, Last Name and Email address of the new user.

Note: The email address provided will be used to login to Platform and must be unique and match the email address captured for the SAP user.

When creating a user you can:

  • Grant the user Account Manager permissions.

  • Assign the user Designer, Power User or Viewer licenses.

  • Optionally send a registration email to the new user once created.

Users can be created in a more automated form by importing a CSV file with user information. To achieve this, click on the Import Users button at the top right corner of the User Management page.

Once a new user is created, it will show up in the Users list of the User Management page. The user status will display Pending until the new user signs into Platform for the first time.

Search Users

To search for a user, go to the Search area at top of the Users list and type characters that refer to the user you are looking for. As you type, the Users list starts to narrow down automatically showing matching criteria.

Edit Users

In the users screen select the user by clicking row with the user name. In addition to being able to update the user details and license assignments the more options icon provides access to additional user actions including deactivating and removing the user.

Note: The user email address cannot be updated. If it is incorrect the record must be deleted and re-captured.

Activation and Deactivation

When deactivating a user the license assignment is removed. When reactivating the user, a new license assignment must be created.

Guests

All @insightsoftware.com users (internal) should be invited as guests rather than being created as a user in the customer account. This ensures that a license is not consumed. A Guest account can be granted the Account Administrator role to assist with user management and providing access to documentation and resources available on the Platform.

Wands Launch

When a user launches Wands they will log in to the Platform and authenticate with any other identify and access providers (as described under Platform Portal Sign in). These credentials will be cached and the user will only be redirected to their browser when the token expires.

After successful authentication, you will be redirected to a “Authentication Complete” page that you can close and the Wands launch process will continue starting Excel and then enabling the Wands Ribbon according to the users assigned licenses.

Follow Section 4.7 “Logging on for the first time” in the Installation Guide for details of the Wands for Oracle launch process.

Note: Deleting the e4awand_serialized.cache file will remove the cache and force the user to reauthenticate. It is recommended that the user logout in the system browser.
